The funnel

What this snapshot builds

Coaching businesses rarely have a traffic problem. They have a show-up problem. Applications come in, calls get booked, and then a third of the diary evaporates because a stranger who filled in a form on Tuesday feels no obligation on Thursday. This snapshot imports the application funnel, the qualification, the reminder stack and the recovery that turns booked calls into calls that actually take place.

Everything that lands in the sub-account

What lands in the sub-account, written for Business Coaching

The same thirteen items ship with every snapshot in this catalogue. What is different here is what each one is wired to do on this trade's day, what it is fixing, and how it earns its price back.

Where the traffic lands

The pages, the paths and the boxes people type into.

  • AI Studio website

Runs as Professional Website in the flow below

An application funnel with a video sales page, qualification form, case-free proof sections and a booking calendar, written and ready to import.

    What is leaking now
Your positioning is on a page that talks about transformation, and a prospect cannot tell who you actually work with.
    What changes
Programme, results, about and application pages that state plainly who this is for and who it is not, each leading to a scored application.
    How it pays back
One extra client a month on a twelve-week programme at your own programme price is a return the cost of this does not approach.
  • Funnels
    What is leaking now
Everyone is sent to the same call booking link, so your calendar fills with people who cannot afford the programme.
    What changes
An application path that scores against your own criteria, a nurture path for those not yet ready, and a fast path for referrals who already know you.
    How it pays back
If scoring keeps eight unqualified calls out of the month at forty-five minutes each, that is six hours a month back at your own hourly worth.
  • Forms and surveys
    What is leaking now
The application asks three soft questions, so the call is spent finding out things that should have disqualified them yesterday.
    What changes
Revenue band, team size, the specific problem, what they have already tried and their readiness to invest, scored automatically before a call is offered.
    How it pays back
Assume the score prevents six wasted calls a month: those six hours redirected at delivery or at qualified prospects is the entire justification.

Who answers

The two things that pick up while you are working.

  • 1 AI Receptionist

Runs as AI Receptionist in the flow below

Answers enquiry calls about the programme, asks the qualifying questions you would ask, and books a strategy call rather than taking a message.

    What is leaking now
A prospect calls during a client session and hears voicemail, which is a poor first impression for someone selling clarity.
    What changes
The line is answered professionally, the enquiry is qualified against your programme criteria, and a call is booked only if the fit is plausible.
    How it pays back
Say forty enquiries a month with eight missed: one becoming a programme client is worth more than a year of this on its own.
  • 1 AI Chatbot

Runs as AI Chatbot in the flow below

Answers programme length, format and investment questions instantly on the site, by text and in Instagram and Facebook messages.

    What is leaking now
Questions about format, time commitment and price sit in the website chat until you finish your afternoon.
    What changes
Format, commitment, price band and who the programme suits answered instantly and honestly, filtering as much as it sells.
    How it pays back
Six conversations a week and one application worth scoring. At programme prices you stop counting after the first one.

What chases

The follow-up that runs whether or not anyone remembered.

  • Workflows
    What is leaking now
An applicant books a call, does not turn up, and nothing happens because there is no process for it.
    What changes
Applications, calls, proposals and onboarding each move on their own track, with the follow-up written for the stage rather than a generic reminder.
    How it pays back
Recover three no-show calls a month and convert one: one extra programme client is not comparable to what the funnel costs.
  • Nurture campaign

Runs as Database Reactivation in the flow below

A hundred and twenty days on a dormant application, because somebody who enquired and did not join was usually blocked by timing rather than by price. The AI call names the next cohort date instead of repeating the pitch, and reopens a list you have already paid to build.

    What is leaking now
Prospects who said 'not this quarter' are dropped, and they buy from whoever is still in front of them six months later.
    What changes
Not-yet prospects are held on a long sequence with genuine material, so when the quarter turns you are the person they already trust.
    How it pays back
Hold a hundred and fifty not-yet prospects and convert six across the year: six programme clients from a list currently doing nothing.

What holds the booking

Keeping a booked slot booked, and keeping the board honest.

  • Appointment reminders, confirmations and no-show recovery

Runs as Smart Appointment System and AI Outbound Caller in the flow below

A strategy call with no prep is a discovery call you have to run twice, so the confirmation carries three questions and the reminders chase the answers rather than the time. Anyone who has not answered by the day before is asked whether they still want the slot — a cheaper way to find a no-show than waiting for one.

    What is leaking now
Discovery calls no-show at a rate that would embarrass a dentist, and each one is a block you cannot resell.
    What changes
Confirmation with the pre-work attached, staged reminders that raise the stakes rather than lower them, and a no-show recovered within the hour.
    How it pays back
Recover four no-show calls a month and close one: the value of a single programme sale against a one-off purchase needs no arithmetic.
  • Pipelines
    What is leaking now
Applied, called, proposed and started exist in a spreadsheet you update when you remember, which is why forecasting is guesswork.
    What changes
A board for the sale — applied, scored, call booked, call held, proposal out, started — where the stage itself moves the next step.
    How it pays back
If it stops one proposal going cold each month, the recovered programme revenue makes the price of the funnel a rounding error.

What brings them back

The part that still earns in month nine.

  • Review automation

Runs as Review Harvesting and Review Automation in the flow below

Waits for a cohort milestone or a client result, not for a completed session. A review written after week one says nothing anybody believes; one written after the thing the client actually came for has happened is the only kind worth publishing.

    What is leaking now
Clients tell you the business finally runs without them and none of that exists anywhere a stranger can find it.
    What changes
The ask fires at a programme milestone, when a client can describe a change rather than an intention, capped so nobody is asked twice — 5–10 a month.
    How it pays back
Assume proof shortens the sales cycle on applicants you already get: one extra client a quarter and this stops being a cost at all.
  • Seasonal automation

Runs as Lifetime Nurture Campaigns in the flow below

Keeps past clients close with check-ins, next-level programme offers, event invitations and a referral reward that pays for introductions.

    What is leaking now
Graduation week is the warmest your list will ever be, and it is the one week nobody mentions the mastermind.
    What changes
Quarterly planning prompts, an alumni track, next-tier invitations, and the referral ask held back until the result has actually landed.
    How it pays back
Take eighty graduates and one in ten stepping up a tier. Eight sales to people who have already sat through twelve weeks of you.

The wiring loom

The unglamorous fields and tokens every message above pulls from.

  • Custom values
    What is leaking now
Cohort dates and the guarantee wording live on nine pages and a dozen emails, and by the second intake no two of them agree.
    What changes
Programme price, cohort dates, guarantee wording, session cadence and contact details set once as tokens read by every asset.
    How it pays back
New cohort dates change in one place instead of across every page and a dozen emails, which is most of a morning back every intake.
  • Custom fields
    What is leaking now
Revenue band, team size and the answers you actually score on are stuck inside a form response, so nothing downstream can read them.
    What changes
Structured fields for revenue band, team size, application score, programme interest and readiness date, driving who gets offered what.
    How it pays back
Readiness date as a field means the not-yet list re-engages itself at the right month, which is where most coaching revenue is actually lost.

Every payback line above is an illustration you can put your own numbers into, not a measured result. Nothing here is a promise of a conversion rate.

Where this actually costs you money

The diary looks fuller than it is

Eight strategy calls booked for the week, five people dial in. The other three cost you nothing to book and everything in preparation time, and there is no sequence trying to rescue them.

Applications with no business behind them

A 60-minute call with someone who has no revenue, no offer and no ability to pay for a programme. It is not their fault, it is the form's — it asked for a name and an email and nothing that would have screened them out.

Leads that go cold in a week

Somebody watches the whole video, downloads the workbook, and then goes quiet. Two months later they join a competitor's programme, because that coach kept talking to them and you did not.

Manual follow-up eats coaching time

You are the product. Every hour spent sending reminder messages, rescheduling and pulling names off a spreadsheet is an hour not spent on the clients paying five figures for your attention.

What changes once it is running

Each of these is delivered by a named part of the system, so you can see which component earns it.

  • Applications that screen themselves

The application funnel asks about revenue, team size, offer and readiness before it offers a slot, so the calendar fills with prospects who fit the programme.

    Delivered by Professional Website

  • Calls that get attended

Three prep questions ride on the confirmation and the reminders chase the answers, so an unanswered set the day before surfaces a no-show cheaply instead of costing you the hour.

    Delivered by Smart Appointment System

  • No-shows rebooked by phone

A missed strategy call gets a real call back the same day offering a new slot, which converts far better than another email into a full inbox.

    Delivered by AI Outbound Caller

  • Questions answered while interest is hot

The prospect halfway through your video sales letter who wants to know the programme length or the investment level gets an answer in seconds, on the site, by text or in Instagram DMs.

    Delivered by AI Chatbot

  • Cold applications revived

Everyone who applied months ago and never booked gets an AI call and a current offer, which is usually the cheapest pipeline a coach has available.

    Delivered by Database Reactivation

Who it fits, and who it does not

Buy it if

  • Coaches and consultants selling a programme between $3,000 and $30,000 where the sale closes on a call
  • Practices running 10 to 40 strategy calls a month, with a setter or the coach taking them personally
  • Agencies building a coach's GoHighLevel sub-account who need application, qualification and call recovery already assembled

Do not buy it if

  • Coaches selling low-ticket courses or memberships with no sales call — the whole funnel is built around a booked conversation
  • Anyone with no traffic yet; this converts and protects applications, it does not create demand where none exists

We would rather lose the sale here than in month two.

The maths, with the assumptions showing

These are worked examples, not results from a customer. The inputs are printed so you can swap in your own and see whether it still holds.

Hours back

Say you get 60 applications a month, book 30 calls, lose 10 to no-shows, and do the reminding, rescheduling and follow-up yourself.

  • Reviewing and screening applications manually: 60 × 4 min = 4 hrs
  • Reminder and confirmation messages: 30 × 3 min = 1.5 hrs
  • Chasing and rebooking no-shows: 10 × 12 min = 2 hrs
  • Following up cold applicants from the sheet: about 3 hrs a month

Roughly about 10 hours a month back

When it pays back

Take a $6,000 programme closing at roughly one in five strategy calls that are actually attended.

  • Recovering 7 of 10 monthly no-shows: 7 extra calls held
  • At one close in five, that is 1.4 additional programme sales: about $8,400
  • Snapshot at $950 against that recovered call volume in a single month

In short If the recovery sequence saves even one sale in a month, the snapshot has paid for itself several times, purely from calls you had already earned.

Try it with your numbers

If your Business Coaching business takescalls a week and missesof them, at an average job ofandof answered calls turn into work, that is—a month walking past the door.

Arithmetic, not a forecast: calls × missed % × close % × job value × 4.33 weeks. It assumes every missed call is answerable, which is the point of an AI receptionist and is still an assumption. Change the numbers until it looks like your business.

End-to-end automation

How the complete system works

Five stages between an application on a Tuesday and a strategy call that actually takes place on Thursday. This is the machine everything in the manifest runs on for a coach.

  1. Somebody gets in touch

Coaching businesses rarely have a traffic problem. They have a show-up problem, and it starts at the moment an application is submitted.

The call from someone who found the podcast

    • Answered whenever it comes, including the hours founders work
    • Asks revenue and team size before it asks about goals
    • Screens out anyone the programme genuinely cannot help
    • Books the strategy call into your real availability
    • Handled in Spanish where the audience needs it

    Revenue screenFit firstReal availability

The DM that starts “quick question”

    • Answered on SMS, email, Facebook and Instagram the same evening
    • Site chat that asks what they have already tried
    • Records the bottleneck they name, which is what the call is about
    • Hands anyone already at capacity straight to you
    • Opens the application sequence from the first message

    Bottleneck namedAlready triedDirect handoff

    The application form

    • Every application starts the ten-day sequence to a call that happens
    • Followed up by email, by text and by a call from the team
    • Split by stage: starting, stuck at a ceiling, or scaling
    • Tagged by source so the podcast and the ads can be compared
    • Reaches your calendar with the application answers attached

    Stage routingAnswers attachedChannel tracking

  2. They are not ready yet

An applicant who felt urgent on Tuesday feels sheepish by Thursday. These ten days exist to keep the reason they applied in front of them.

Days one to three — the reason they applied

    • A welcome that reflects their own words back to them
    • What the strategy call is, and what it is not, said plainly
    • A client story about the same bottleneck, told without a number
    • One decision: confirm the call, or tell us it is the wrong time

Days four to seven — the text before the call

    • A reminder that the slot is a real hour of a real diary
    • One line from someone who was at the same stage
    • One tap to confirm or move it
    • Direct, because founders respond to directness

Days eight to ten — the setter calls

    • A call to confirm the call, which is the whole trick
    • Ready for “I need to speak to my business partner”
    • Confirms the slot or releases it without any drama
    • Leaves a voicemail naming the bottleneck they wrote down
  3. The appointment holds

A booked strategy call is not revenue, it is an option. A third of the diary evaporates unless every hour between booking and call is used.

The call is booked and pre-framed

    • A text confirming the time in their own time zone
    • A calendar invite with the video link inside it, not attached to it
    • The email version explaining exactly what will be covered
    • Three questions to answer first, which is what makes them turn up

    Three touches before the call

    • A day out, with the pre-call questions repeated
    • An hour out, in the time zone they actually live in
    • Fifteen minutes out, with the link one tap away
    • Moving the call takes one tap and offers the hour to somebody else

    The call that never connected

    • Called inside the hour, while the hour can still be resold
    • Sorts the genuinely double-booked from the quietly cold
    • Rebooks once, then stops, because chasing three times reads as need

    One rebook only70% recovery target

  4. The good jobs get seen

A coaching review is only credible when the client has done something. The ask fires on a milestone the client themselves reported, not on a calendar date.

Asked on a milestone, not on a date

    • Triggered when a client reports a win, not at ninety days
    • A proud client gets the Google and Facebook link while it is fresh
    • Anything unhappy reaches you before it reaches a group chat
    • Aimed at five to ten reviews a month across the active roster

    And answered without a claim

    • Every review answered in your own voice
    • The client’s own framing echoed, never an earnings claim added
    • A criticism of pace or format answered with a change
    • Anything about a refund reaches you the same hour

Put where the sceptic is reading

    • Published against the stage the reviewer was at
    • Placed beside the programme price, where the doubt actually is
    • Feeding search for coaching in the niche you actually serve
  5. They come back

A coaching client who finishes a programme is either your best case study or your last sale to them. This stage decides which.

    After the programme ends

    • A check-in on the goal they set in week one, on its own date
    • The next tier offered when they are winning, not when they are stuck
    • A quarterly review invitation that asks for nothing
    • A yearly note on how far the business has actually moved

The questions that used to reach your inbox

    • Call times, replays and portal access answered at any hour
    • Rescheduling a one-to-one without a message to you
    • “Where is the recording from last Tuesday?”
    • Finding the worksheet from a module they have lost

Waking the applications that went cold

    • An application that never booked is called at three weeks
    • Alumni from a year ago contacted before a new cohort opens
    • A new programme as the honest reason to reopen the conversation
    • A referral prompt each month, since coaching sells on word of mouth

Delivery and installation

You can install it yourself. Most people do.

Delivered within 24 business hours of purchase confirmation. Our counter is open 9am to 5pm Central, Monday to Friday, so a Friday evening order goes out on Monday rather than over the weekend. Two things arrive: the snapshot link and a PDF that walks the whole import. The PDF is the real route, not a courtesy attachment: screenshots, the import order, what to change first and what to leave alone. Most buyers never call us.

In the price

Self-install

Included

  • One GoHighLevel snapshot share link
  • One PDF with the full installation instructions
  • Free updates for life, sent as a fresh link
  • A pre-purchase call if you want one, at no charge

Optional

Optional installation add-on

$175 one-off

Buying back an afternoon, not unlocking the product.

  • Importing the snapshot into the sub-account you nominate
  • Rebranding the website — logo, palette, business details, service area
  • A2P / 10DLC registration and the sending setup behind it
  • Email service setup: your domain email connected inside GoHighLevel
  • A few extra automations where your offer needs them

Not part of installation, on any package

  • Third-party integrations
  • Third-party software
  • Custom software development

Those three are real engineering jobs rather than configuration, so they get a fixed price and a date of their own. See how that is quoted.

Support scope

What the price covers, and what gets its own quote

We would rather tell you where the line is now than discover it with you halfway through a build. Everything on the left is inside the price. Everything on the right is real work we are happy to do — it just gets priced on its own.

Inside the price

The snapshot link
The whole funnel as a GoHighLevel share link, yours to import into as many of your own sub-accounts as you like.
The installation PDF
Written for this funnel rather than for GoHighLevel in general: import order, what to rename, what to connect, what to leave alone.
Free updates for life
When the funnel is rebuilt or extended, the new link comes to you. There is no version fee and no upgrade tier.
A call before you buy
A walk-through of the funnel, or an honest answer about which one fits your offer. No charge and no pipeline chasing.

Installation is an optional $175 add-on — the PDF is a real route on its own.

Quoted separately, or run by a VA

Third-party integrations
Connecting the funnel to a CRM, an EHR, a job-management tool or an accounts package.
Third-party software
Anything that needs a licence, a seat or a subscription somewhere that is not GoHighLevel.
Custom software development
A portal, a calculator, a bespoke dashboard — software built for you rather than configured.

Ask and you get a fixed price and a date before anything starts. Where the work is repetitive rather than technical, we will say so and put a trained VA on it instead — it is cheaper and it is the honest answer.

Show-up rate is the number that matters

Coaches measure leads and closes and skip the metric in between. Yet the gap between calls booked and calls attended is usually the single biggest leak in the business, and it is invisible unless you look for it deliberately.

Fixing it costs nothing in traffic. Every recovered call is a prospect you already paid to acquire, already convinced enough to book, and simply lost to a busy Thursday.

What lands in the sub-account

The import gives you the application funnel, scoring and qualification logic, strategy call calendars, the full reminder stack, a same-day recovery sequence, a pipeline from application to close, and a reactivation campaign for old applicants.

Copy is written for a coaching offer rather than a generic service business: the application page asks about revenue and readiness, and the reminder messages sound like a coach's office rather than a dentist's.

Delivered within 24 business hours with an installation PDF that walks the application scoring, the cohort dates and the call calendar. Most coaches have it running in an evening; the $175 installation is there if you would rather buy the evening back.

Qualification without losing good prospects

Over-qualifying is a real risk. Ask too much on the application and the serious buyer who was in a hurry drops out, which is why the funnel splits the questions: enough to route the lead before the booking, the rest afterwards.

The scoring is adjustable. Most coaches start looser than they expect to end up, watch which answers actually predict a close on their own calls, and tighten from there.

Questions

About the Business snapshot

More general questions — licensing, refunds, setup — are answered on the FAQ page.

Can I use my own application questions?

Yes. The form and its scoring rules are fully editable, and most coaches replace half the questions with the ones they have found predict a good fit. The routing logic behind the form stays intact when you change the wording.

Does it work if a setter takes the calls rather than me?

It does. Calendars can route by team member, with separate availability and round-robin distribution, and the pipeline shows which setter booked and held each call. Recovery sequences work the same whoever the call belonged to.

What happens to applicants who do not qualify?

They are captured, told plainly that the programme is not the right fit right now, and moved into a nurture track rather than deleted. Some of them qualify a year later, and having them on a list is how you find out.

Will the reminders feel automated to a high-ticket prospect?

They are written to sound like a short note from an assistant, not a system notification, and the volume is deliberately restrained. If a prospect replies to a reminder the conversation lands with you rather than disappearing into a workflow.
