The funnel

What this snapshot builds

Webinars fail in the gap between registering and attending. Someone signs up on Monday for a Thursday session, forgets by Wednesday, and never hears the offer you spent three weeks building. Then the replay goes out late, the follow-up runs for two days, and the launch quietly underperforms. This snapshot imports the whole sequence, from registration page to cart close.

Everything that lands in the sub-account

What lands in the sub-account, written for Webinar

The same thirteen items ship with every snapshot in this catalogue. What is different here is what each one is wired to do on this trade's day, what it is fixing, and how it earns its price back.

Where the traffic lands

The pages, the paths and the boxes people type into.

  • AI Studio website

Runs as Professional Website in the flow below

Registration, thank-you, live room, replay and offer pages, pre-written and connected, with the countdown and the cart-close logic in place.

    What is leaking now
Your registration page is a title, a date and a form, and nobody can tell what they will actually be able to do afterwards.
    What changes
Registration, replay, thank-you and offer pages built as one path, each written around the outcome rather than the agenda.
    How it pays back
One extra sale per session at your own offer price, across a session a fortnight, is a monthly figure this build is not comparable to.
  • Funnels
    What is leaking now
Live registrations, replay viewers and the people who bought are all sitting in the same undifferentiated list.
    What changes
Separate paths for live registration, evergreen replay and post-webinar offer, each with its own timing and its own closing sequence.
    How it pays back
If the replay path recovers even two sales a session that live-only would have lost, the funnel repays itself in the first month it runs.
  • Forms and surveys
    What is leaking now
Registration collects a name and an email, so every attendee is treated identically no matter why they came.
    What changes
The specific problem, current stage and biggest obstacle collected at registration, which is what lets the session and the follow-up speak to segments.
    How it pays back
Assume segmenting lifts the follow-up on the half of registrants who share one obstacle: one extra sale a session pays this back immediately.

Who answers

The two things that pick up while you are working.

  • 1 AI Receptionist

Runs as AI Receptionist in the flow below

Answers calls from registrants asking about timings, format or the offer, and books a post-session call rather than sending them to voicemail.

    What is leaking now
Someone with a pre-purchase question rings the number on the offer page during the session and reaches nobody.
    What changes
The line is answered, the objection is captured, and either the question is handled or a call is booked before the cart closes.
    How it pays back
Say thirty calls around each launch with a third missed: one recovered sale at your offer price is many times what this costs.
  • 1 AI Chatbot

Runs as AI Chatbot in the flow below

Handles pricing, bonus and access questions live on the registration and replay pages, by text, and in Facebook and Instagram messages.

    What is leaking now
Questions about whether the replay will be available and whether the offer is still open go unanswered during the exact hour they matter.
    What changes
Replay availability, offer deadlines, payment terms and access problems answered instantly during and after the session, when the answer decides the sale.
    How it pays back
Eight questions per launch and two convert: two recovered sales in one launch is the whole build repaid on the first session.

What chases

The follow-up that runs whether or not anyone remembered.

  • Workflows
    What is leaking now
Reminder emails are scheduled by hand before each session, and the day someone forgets, show-up rate collapses.
    What changes
Registration confirmations, the reminder ladder, replay delivery and the post-session close all run themselves, identically, every session.
    How it pays back
Take an hour of setup off every session across twenty-six sessions a year and that is most of a working week returned.
  • Nurture campaign

Runs as Database Reactivation in the flow below

Worked against the next session date rather than on a rolling clock. Registrants who went quiet get an AI call in the fortnight before the next live run, with the new date as the reason to answer — a far better hook than a replay link six months late.

    What is leaking now
Registrants who never attended and viewers who never bought are left in a list and mailed a newsletter.
    What changes
Non-attendees are treated differently from non-buyers, each on their own path, with the next session offered at the right moment rather than immediately.
    How it pays back
Re-engage four hundred old registrants and convert eight over a year: eight sales from a list that was previously inert.

What holds the booking

Keeping a booked slot booked, and keeping the board honest.

  • Appointment reminders, confirmations and no-show recovery

Runs as Smart Appointment System and AI Outbound Caller in the flow below

Registration is not attendance, so the ladder is built around the session rather than around a diary: a calendar file on sign-up, a reminder the day before, one an hour out and the live link fifteen minutes before it starts. Anyone who does not appear drops straight into the replay sequence rather than being written off.

    What is leaking now
People register for the live session and forget, and the show-up rate is whatever it happens to be that week.
    What changes
Confirmation with a calendar invite, a reminder ladder that tightens toward the start, and a replay path for the ones who still could not make it.
    How it pays back
Lift show-up by even a few attendees a session at your own close rate and the return arrives within the first fortnight.
  • Pipelines
    What is leaking now
Registered, attended, watched the replay and bought exist only as exports you compare by hand after each launch.
    What changes
A board across the launch — registered, attended, replay watched, offer viewed, purchased — so you can see where a session actually leaks.
    How it pays back
Seeing that the leak is at the offer page rather than at registration changes what you fix next, and fixing the right thing once repays this outright.

What brings them back

The part that still earns in month nine.

  • Review automation

Runs as Review Harvesting and Review Automation in the flow below

Asks buyers only, and only once the purchase has settled. An attendee who did not buy has an opinion about a free session rather than about a product, and mixing the two produces a review wall that says nothing about whether the thing works.

    What is leaking now
Attendees tell you in the chat that it was the clearest explanation they have heard and none of it is anywhere public.
    What changes
The ask goes out to buyers after they have used what they bought, not to registrants, and never during a live session — 5–10 a month is the target.
    How it pays back
Assume proof lifts registration conversion on the traffic you already buy: a few extra registrants per session compounds across every future launch.
  • Seasonal automation

Runs as Lifetime Nurture Campaigns in the flow below

Keeps non-buyers warm between sessions with the next date, seasonal promotions and referral rewards for people who bring a colleague.

    What is leaking now
Each launch starts from cold, even though the previous four built a list of people who nearly bought.
    What changes
Session-to-session sequences, seasonal launch cycles, alumni-only offers and referral prompts to bring a colleague to the next one.
    How it pays back
A thousand past registrants, one percent buying on a return offer: ten sales without a single new registration bought.

The wiring loom

The unglamorous fields and tokens every message above pulls from.

  • Custom values
    What is leaking now
The session date, the offer price and the cart deadline are written into every page and email by hand, and one of them is always last month's.
    What changes
Session date, offer price, cart deadline, replay window and host name live once as tokens, so relaunching is a date change rather than a rebuild.
    How it pays back
Relaunching becomes a ten-minute job instead of an afternoon of editing, every fortnight, for as long as you run the funnel.
  • Custom fields
    What is leaking now
Attendance, replay watch and offer views are scattered across three platforms and cannot be used to segment anything.
    What changes
Registration source, attendance, replay watched, offer viewed and the objection they gave, all on one record instead of three platforms.
    How it pays back
Attendance as a field is what lets the non-attendees be written to as non-attendees, and they are the biggest recoverable group any launch has.

Every payback line above is an illustration you can put your own numbers into, not a measured result. Nothing here is a promise of a conversion rate.

Where this actually costs you money

Registrants who never attend

You paid for every one of those registrations. A single reminder email an hour before is not a reminder stack, and the people who miss the live session are usually the ones who were most enthusiastic when they signed up.

The replay that arrives too late

Sending the recording two days later means sending it to someone whose problem has gone quiet again. The window where a missed attendee will still watch is measured in hours, not days.

Nobody books after the pitch

The offer lands, people nod along, and then there is no clean path from the session to a call in your diary. The prospect closes the tab meaning to come back and never does.

Follow-up stops after two emails

Most of the revenue in a webinar launch arrives in the final 48 hours before the cart closes, which is exactly when a manually run follow-up sequence has already run out of steam.

What changes once it is running

Each of these is delivered by a named part of the system, so you can see which component earns it.

  • A reminder stack that works

The ladder is built around the session rather than a diary — a calendar file on sign-up, a nudge the day before, one an hour out and the live link fifteen minutes before it starts — and anyone who misses it drops into the replay sequence automatically.

    Delivered by Smart Appointment System

  • A registration page that converts

Registration, confirmation, live room and replay pages ship pre-written and connected, so the only thing you supply is the session title, the promise and the date.

    Delivered by Professional Website

  • Live questions answered instantly

During and after the session, the chatbot handles pricing, format and bonus questions across the site, text and social, so an unanswered question does not become a lost sale.

    Delivered by AI Chatbot

  • Hot attendees phoned, not emailed

Anyone who stayed to the offer and did not buy gets a call while the session is still fresh, which is the difference between a warm list and a booked call.

    Delivered by AI Outbound Caller

  • Non-buyers stay on the list

Attendees who were not ready move into a long-run sequence with the next session, seasonal offers and referral prompts, so one webinar feeds the following ones.

    Delivered by Lifetime Nurture Campaigns

Who it fits, and who it does not

Buy it if

  • Coaches, consultants and course sellers running a live or evergreen session with 100 or more registrations a month
  • Offers between $500 and $10,000 where the session does the teaching and a call or a checkout closes the sale
  • Agencies building a client's GoHighLevel sub-account who need registration, reminders, replay and cart-close follow-up already wired

Do not buy it if

  • Anyone without a traffic source; a registration funnel with nothing pointing at it will not manufacture an audience
  • Purely educational sessions with nothing sold at the end — the entire back half of this funnel exists to carry an offer

We would rather lose the sale here than in month two.

The maths, with the assumptions showing

These are worked examples, not results from a customer. The inputs are printed so you can swap in your own and see whether it still holds.

Hours back

Say you run two sessions a month, take 300 registrations, and build reminders, replay sends and follow-up by hand each time.

  • Building reminder emails and texts per session: 2 × 2 hrs = 4 hrs
  • Cutting, uploading and sending the replay: 2 × 1.5 hrs = 3 hrs
  • Manual follow-up on attendees and non-buyers: about 5 hrs a month
  • Booking and confirming post-session calls: 25 × 4 min = 1.7 hrs

Roughly about 14 hours a month back

When it pays back

Say a $1,500 offer, 300 registrations a month, and 100 of those registrants missing the live session entirely.

  • Recovering 70 of those 100 through the reminder stack and same-day replay, which is the system's 70% no-show recovery target
  • At a 3% conversion on people who reach the offer, that is about 2 extra sales: roughly $3,000 in the month
  • Snapshot at $980 against registrations you had already paid to acquire

In short On those assumptions it clears its own cost in the first month, and the same recovery runs on every session afterwards.

Try it with your numbers

If your Webinar business takescalls a week and missesof them, at an average job ofandof answered calls turn into work, that is—a month walking past the door.

Arithmetic, not a forecast: calls × missed % × close % × job value × 4.33 weeks. It assumes every missed call is answerable, which is the point of an AI receptionist and is still an assumption. Change the numbers until it looks like your business.

End-to-end automation

How the complete system works

Five stages between a Monday registration and a Thursday cart close. This is the machine everything in the manifest runs on around a live or evergreen session.

  1. Somebody gets in touch

Webinars are not lost on the day. They are lost in the gap between registering and remembering, and that gap opens the moment somebody signs up.

The call from someone who saw the ad

    • Answered whenever the ad is running, which is every hour
    • Registers them on the call rather than sending them back to a page
    • Asks which session time actually suits their week
    • Confirms the time zone out loud, which is where registrations die
    • Handled in Spanish where the audience is split

    Registers on callTime zoneSession choice

The message asking if there is a replay

    • Answered on SMS, email, Facebook and Instagram while the ad is live
    • Site chat that registers them without leaving the conversation
    • Notes the problem they want the session to solve
    • Passes anyone already sales-ready straight to a call instead
    • Starts the attendance sequence the second they register

    Registers in chatProblem notedFast-track

    The registration page

    • Every registration opens the ten-day sequence around the session
    • Reminded by email, by text and by a call before it starts
    • Split by session time so nobody gets the wrong reminder
    • Tagged by source so the ad set can be judged on attendance, not signups
    • Handed to the cart sequence the moment the session ends

    Per sessionAttendance trackingCart handoff

  2. They are not ready yet

Ten days is the whole webinar business: three before the session that get them into the room, and seven after that turn watching into buying.

Days one to three — before the room opens

    • A welcome that repeats the date, the time and the time zone
    • The one thing they will be able to do afterwards
    • A short pre-session task, which lifts attendance more than any reminder
    • One decision: put it in the calendar now, or move to another session

Days four to seven — after the session

    • The replay sent the same day, not three days later
    • The offer restated in writing for people who left early
    • A question-and-answer follow-up built from what was actually asked
    • One tap to take the offer while the cart is open

Days eight to ten — the cart closes

    • A call to whoever watched most of it and did not buy
    • Ready for price, timing and “I did not see the whole thing”
    • Takes the order, or asks them onto the next session honestly
    • Leaves a voicemail naming the session, not the offer
  3. The appointment holds

A registration is not an attendee. Everything here exists to get a person who signed up on Monday into the room on Thursday.

Registered, and the room is in their calendar

    • A text confirming the session in their own time zone
    • A calendar invite carrying the join link inside it
    • The email version with the link repeated where it can be found
    • One question asked at registration, which is what makes them show up

    Three reminders into the room

    • A day out, so the afternoon is not booked over
    • An hour out, which is the single highest-value reminder in the sequence
    • Fifteen minutes out, with the room already open
    • Moving to another session takes one tap, and keeps them in the sequence

    The registration that never showed

    • A call within the hour to whoever registered and did not appear
    • Finds out whether the link failed or the day did
    • Puts them on the next session rather than losing them to a replay

    Next session70% recovery target

  4. The good jobs get seen

The review moment is the end of the session, while the room is still typing in the chat. Nothing later ever gets that response rate again.

Asked while the room is still typing

    • Fires two hours after the session ends, not the following week
    • A satisfied attendee gets the Google and Facebook link straight away
    • Anything negative comes to you before it lands in a Facebook group
    • Aimed at five to ten reviews a month across sessions

    And answered as the host

    • Every review answered by the person who ran the session
    • The attendee’s own question echoed back, since they asked it live
    • A complaint about the pitch length answered with a change to the run sheet
    • Anything about a refund request reaches you within the hour

    Put on the registration page

    • Published against the session topic reviewed
    • Placed beside the registration button, where hesitation happens
    • Feeding search for the topic the session actually teaches
  5. They come back

The list is the asset. A registrant who did not buy this time is the cheapest attendee the next launch will ever have.

    Between launches

    • A seasonal invitation back to the next live session
    • A note when the material changes enough to be worth watching again
    • A quarterly round-up of the questions the room keeps asking
    • A yearly invitation to the flagship session, whatever else has run

The questions that used to fill your inbox

    • Session times and replay access answered at any hour
    • Moving to another session without a support ticket
    • “Is the replay still up?”
    • Finding the workbook or slides from a session they attended

    Waking the non-attendees

    • A registrant who never watched is called before the next launch
    • People who watched and did not buy revisited at six months
    • A new session as the honest reason to come back
    • A referral prompt each month, aimed at the people who did attend

Delivery and installation

You can install it yourself. Most people do.

Delivered within 24 business hours of purchase confirmation. Our counter is open 9am to 5pm Central, Monday to Friday, so a Friday evening order goes out on Monday rather than over the weekend. Two things arrive: the snapshot link and a PDF that walks the whole import. The PDF is the real route, not a courtesy attachment: screenshots, the import order, what to change first and what to leave alone. Most buyers never call us.

In the price

Self-install

Included

  • One GoHighLevel snapshot share link
  • One PDF with the full installation instructions
  • Free updates for life, sent as a fresh link
  • A pre-purchase call if you want one, at no charge

Optional

Optional installation add-on

$175 one-off

Buying back an afternoon, not unlocking the product.

  • Importing the snapshot into the sub-account you nominate
  • Rebranding the website — logo, palette, business details, service area
  • A2P / 10DLC registration and the sending setup behind it
  • Email service setup: your domain email connected inside GoHighLevel
  • A few extra automations where your offer needs them

Not part of installation, on any package

  • Third-party integrations
  • Third-party software
  • Custom software development

Those three are real engineering jobs rather than configuration, so they get a fixed price and a date of their own. See how that is quoted.

Support scope

What the price covers, and what gets its own quote

We would rather tell you where the line is now than discover it with you halfway through a build. Everything on the left is inside the price. Everything on the right is real work we are happy to do — it just gets priced on its own.

Inside the price

The snapshot link
The whole funnel as a GoHighLevel share link, yours to import into as many of your own sub-accounts as you like.
The installation PDF
Written for this funnel rather than for GoHighLevel in general: import order, what to rename, what to connect, what to leave alone.
Free updates for life
When the funnel is rebuilt or extended, the new link comes to you. There is no version fee and no upgrade tier.
A call before you buy
A walk-through of the funnel, or an honest answer about which one fits your offer. No charge and no pipeline chasing.

Installation is an optional $175 add-on — the PDF is a real route on its own.

Quoted separately, or run by a VA

Third-party integrations
Connecting the funnel to a CRM, an EHR, a job-management tool or an accounts package.
Third-party software
Anything that needs a licence, a seat or a subscription somewhere that is not GoHighLevel.
Custom software development
A portal, a calculator, a bespoke dashboard — software built for you rather than configured.

Ask and you get a fixed price and a date before anything starts. Where the work is repetitive rather than technical, we will say so and put a trained VA on it instead — it is cheaper and it is the honest answer.

Attendance is a distribution problem

A registration is a low-cost promise made days before it has to be kept. The people who break it are not uninterested; they are at work, or the school run overran, and nothing reached them at the moment the session started.

So the fix is not a better registration page. It is a reminder cadence that reaches the same person on more than one channel as the start time approaches, and a replay that goes out while the intention is still alive.

What the snapshot installs

Registration, confirmation, live and replay pages, calendar invites, a multi-channel reminder stack, a same-day replay sequence, post-session call booking, a cart-close countdown, and a nurture track for people who did not buy.

The pipeline stages are set up for a launch rather than a service business: registered, attended, watched replay, booked call, bought. That means you can see where a session leaked instead of guessing after the fact.

Delivered within 24 business hours with instructions for the whole launch: session dates, the reminder ladder, the replay window and the cart deadline. Change those five values and it relaunches. Installation by us is an optional $175.

Live and evergreen from the same import

The funnel runs either way. For a live launch you set a single date and the countdown drives everything; for evergreen you set recurring session times and the same reminder and replay logic runs on a rolling basis.

Most operators start live, learn which reminder touches move their audience, and then switch the winning version to evergreen. Because the sequences are the same objects, that switch is a settings change rather than a rebuild.

Questions

About the Webinar snapshot

More general questions — licensing, refunds, setup — are answered on the FAQ page.

Which webinar platform does it work with?

The funnel handles registration, reminders, replay and follow-up, and the session itself can run wherever you already host it. You point the live room page at your platform link and the sequences carry on regardless of which one you use.

Can I run this as an evergreen webinar?

Yes. Set recurring session times instead of a single date and the countdown, reminder stack and replay window all run on a rolling schedule per registrant. Nothing needs rebuilding between the two modes.

How long should the replay stay open?

The default is a short window with a visible expiry, because open-ended replays are watched by almost nobody. You can extend it, but the follow-up sequence is timed around urgency and loses its shape if the deadline is not real.

Does it book sales calls or send people to a checkout?

Either, and the import includes both paths. Higher-ticket offers route to a booking calendar with the full reminder stack behind it; direct-purchase offers route to a checkout page with the cart-close countdown running.
