The funnel

What this snapshot builds

A spa loses money in a very particular way: the therapist is paid, the room is heated, and nobody is on the table. It happens on a Tuesday afternoon, after a late cancellation, and every time a first-time client has a lovely massage and never books the second. This snapshot imports the funnel, the reminders and the follow-up that stop those three things.

Everything that lands in the sub-account

What lands in the sub-account, written for Spa & Wellness

The same thirteen items ship with every snapshot in this catalogue. What is different here is what each one is wired to do on this trade's day, what it is fixing, and how it earns its price back.

Where the traffic lands

The pages, the paths and the boxes people type into.

  • AI Studio website

Runs as Professional Website in the flow below

A treatment-led site with the menu, durations, prices, therapist profiles, gift vouchers and a booking calendar, all pre-written for a spa.

    What is leaking now
Someone booking a treatment wants to see the room, the therapist and the aftercare, and the site gives them a price list in a PDF.
    What changes
Facial, massage, aesthetics and course pages that put the room and the aftercare on screen, each ending at the treatment calendar.
    How it pays back
One extra course of treatments a month, at the full course value, and the price of this build stops being part of the conversation.
  • Funnels
    What is leaking now
A gift-voucher massage and a six-session aesthetics course are pushed through the same booking box at the same speed.
    What changes
Separate paths for single treatments, courses, aesthetics consultations and vouchers, each with the consent and patch-test rules that treatment actually needs.
    How it pays back
If the course path converts two extra courses a month, the difference between a single treatment and a course is the entire return on this.
  • Forms and surveys
    What is leaking now
Consultation forms are filled in at reception, so the therapist finds the contraindication with the client already on the couch.
    What changes
Health questionnaire, contraindications, patch-test status, treatment history and goals collected before arrival, clinical detail kept out of SMS.
    How it pays back
Assume two rescheduled treatments a month avoided because the contraindication was known: that is therapist hours saved and clients not turned away at the door.

Who answers

The two things that pick up while you are working.

  • 1 AI Receptionist

Runs as AI Receptionist in the flow below

Picks up while every therapist is in a room, explains treatment lengths and patch-test rules, and holds the slot before the caller rings anyone else.

    What is leaking now
Therapists are in treatment rooms with the phone on silent, so an enquiry at two in the afternoon reaches nobody at all.
    What changes
The call is answered calmly as the spa, the treatment and its patch-test clock are explained, and the appointment is placed with the right therapist.
    How it pays back
Say a hundred calls a month with eighteen missed: two of those becoming course clients is a return you would not need to argue for.
  • 1 AI Chatbot

Runs as AI Chatbot in the flow below

Handles the weekend enquiry about couples packages or pregnancy massage on the site, Instagram and Facebook, then books straight into the diary.

    What is leaking now
Questions about downtime, pregnancy safety and what a treatment actually feels like sit on the website overnight.
    What changes
Downtime, suitability, aftercare and pricing answered instantly and calmly, with anything clinical handed to a therapist rather than guessed at.
    How it pays back
Eight conversations a week and one books a consultation: on aesthetics course values, that single booking repays the build several times.

What chases

The follow-up that runs whether or not anyone remembered.

  • Workflows
    What is leaking now
A client finishes session two of a six-session course and drifts, and the remaining four are never rebooked.
    What changes
Course progress is tracked and the next session is prompted on the right interval, with patch tests and consent chased before each appointment.
    How it pays back
Recover three abandoned courses a month at the remaining course value and the funnel is repaid many times inside the first quarter.
  • Nurture campaign

Runs as Database Reactivation in the flow below

Six months, plus a second list almost nobody works: unredeemed vouchers. The AI call reaches lapsed clients with a treatment they have actually had before, and separately reaches voucher holders before expiry — recovering revenue that has already been paid for and never delivered.

    What is leaking now
Clients who came for a birthday treatment two years ago have never heard from you since the thank-you email.
    What changes
Quiet clients are contacted on their treatment's own natural interval with a reason that fits the treatment, not a blanket discount.
    How it pays back
Two hundred and fifty quiet clients, eight percent returning: twenty treatments booked from a list that was doing nothing at all.

What holds the booking

Keeping a booked slot booked, and keeping the board honest.

  • Appointment reminders, confirmations and no-show recovery

Runs as Smart Appointment System and AI Outbound Caller in the flow below

Anything needing a patch test has to be confirmed forty-eight hours ahead or the appointment cannot go ahead at all, so that check runs on its own timer separate from the reminder ladder. The rest carries arrival time, prep notes and what to wear, and a cancelled room is reoffered to the voucher list inside the hour.

    What is leaking now
Ninety minutes gone: a room, a therapist and a slot that nothing can be sold into that afternoon.
    What changes
Confirmation with the patch-test and preparation notes, staged reminders, and a missed slot chased within the hour so the room can be refilled.
    How it pays back
Refill two missed treatment hours a week at your own treatment price and the build is paid off well inside a season.
  • Pipelines
    What is leaking now
Consultation, patch test, first treatment, course purchased and course completed live across a diary and a paper record.
    What changes
A board for the treatment journey — consulted, patch tested, first treatment, course purchased, in course, completed — driving its own follow-up.
    How it pays back
If it stops one course consultation going unconverted each month, that single recovered course is worth more than this costs in a year.

What brings them back

The part that still earns in month nine.

  • Review automation

Runs as Review Harvesting and Review Automation in the flow below

Goes out with the aftercare email a few hours later, not at reception. A client walking out of a ninety-minute massage is in no state to write anything; the honest window is that evening, when they can still feel the treatment and have their phone in their hand.

    What is leaking now
Clients tell the therapist it was the best hour of their month, and the profile has nine reviews and no photographs.
    What changes
The ask goes out after the aftercare window has passed rather than as the client leaves, which is when they can actually judge the result — 5–10 a month.
    How it pays back
Assume better proof converts more of the searches that already reach you: two extra course clients a year settles the arithmetic entirely.
  • Seasonal automation

Runs as Lifetime Nurture Campaigns in the flow below

Rebook prompts timed to the treatment cycle, seasonal packages, membership offers and a referral reward for clients who bring a friend.

    What is leaking now
Vouchers, summer preparation and post-holiday recovery only ever sell to the client who thought to ask.
    What changes
Voucher prompts before gifting season, preparation courses ahead of summer, recovery treatments after it, and referral rewards for the friend who came along.
    How it pays back
Three hundred clients, five percent buying a voucher: fifteen vouchers sold in advance, most of which come back as a second visit.

The wiring loom

The unglamorous fields and tokens every message above pulls from.

  • Custom values
    What is leaking now
Your patch-test window, cancellation notice and course terms are typed into templates by hand and no two match.
    What changes
Patch-test window, cancellation notice, course terms, therapist names and opening hours set once as tokens every message reads.
    How it pays back
Update the cancellation notice in one place, and never send a client terms the spa stopped using two seasons ago.
  • Custom fields
    What is leaking now
Treatment history, patch-test dates and where they are in a course all live in a paper file, so nothing can prompt session three.
    What changes
Treatment type, patch-test date, sessions remaining, contraindications flag and preferred therapist, structured and separate from the clinical record.
    How it pays back
With sessions remaining as a field, course completion prompts itself. An unfinished course is the single most expensive thing this business loses.

Every payback line above is an illustration you can put your own numbers into, not a measured result. Nothing here is a promise of a conversion rate.

Where this actually costs you money

Nobody can answer during treatments

Every therapist is in a room with the door shut and the phone is on the desk. An enquiry about a couples package on a Saturday reaches voicemail, and by the evening that booking is at the spa hotel down the road.

The quiet Tuesday afternoon

Weekends sell themselves; midweek does not. Two empty 60-minute slots on a Wednesday is a paid therapist standing in an empty room, and there is no mechanism that fills them at short notice.

One treatment, never a course

The first facial goes beautifully and the client leaves without booking the next. A course of six is where the margin lives, and it is usually lost at the reception desk in the thirty seconds after aftercare advice.

Gift vouchers that never get redeemed

Vouchers sell well at Christmas and then sit in drawers. Unredeemed vouchers look like revenue but they are dormant clients who have never walked in and never will unless somebody prompts them.

What changes once it is running

Each of these is delivered by a named part of the system, so you can see which component earns it.

  • Enquiries answered mid-treatment

Calls get picked up while every room is occupied, with treatment durations, contraindication questions and patch-test rules handled in the conversation before a slot is held.

    Delivered by AI Receptionist

  • Quiet slots filled by phone

When Wednesday looks thin, the outbound campaign works down recent clients and voucher holders with a specific slot rather than a vague invitation to book sometime.

    Delivered by AI Outbound Caller

  • The room stops sitting empty

Patch tests are confirmed on their own forty-eight-hour timer so nobody is turned away at the door, and a cancelled room is offered back to voucher holders inside the hour.

    Delivered by Smart Appointment System

  • First visits become courses

Aftercare, a rebook prompt timed to the treatment cycle, seasonal offers and a referral reward, so the single facial turns into a course of six and then into a regular.

    Delivered by Lifetime Nurture Campaigns

  • Reviews without asking on the day

The follow-up cadence runs across text and email for days after a visit, so the client who was too relaxed to think about Google at reception still leaves a review that evening.

    Delivered by Review Automation

Who it fits, and who it does not

Buy it if

  • Day spas and wellness clinics with three to twelve treatment rooms and a therapist team on a rota
  • Clinics selling courses, memberships or prepaid packages where the second and third visit carry the margin
  • Agencies building a spa client's GoHighLevel sub-account who need bookings, reminders and package follow-up already connected

Do not buy it if

  • Solo therapists working from a spare room with a full book — the reactivation and outbound half of this will find you clients you cannot fit in
  • Medical aesthetic clinics that need prescriber-led consent flows and clinical records; this handles bookings and marketing, not clinical documentation

We would rather lose the sale here than in month two.

The maths, with the assumptions showing

These are worked examples, not results from a customer. The inputs are printed so you can swap in your own and see whether it still holds.

Hours back

Say you run 90 treatments a week across four rooms, miss around 15 calls, and handle rebooking and voucher chasing on reception between clients.

  • Missed enquiry calls returned later: 15 × 5 min = 1.25 hrs
  • Confirmations and reminder calls by hand: 90 × 1 min = 1.5 hrs
  • Chasing rebooks and unredeemed vouchers: about 2.5 hrs a week
  • Typing review requests after visits: 30 × 2 min = 1 hr

Roughly about 6 hours a week back

When it pays back

Take $95 for a 60-minute treatment and $480 for a course of six, which is the range most day spas sit in.

  • Two midweek slots filled a week: 8 × $95 = $760 a month
  • One extra course of six a month from the rebook sequence: $480
  • Snapshot at $900 against roughly $1,240 a month of recovered room time

In short On those figures it pays for itself inside the first month, and the courses are the part that keeps compounding.

Try it with your numbers

If your Spa & Wellness business takescalls a week and missesof them, at an average job ofandof answered calls turn into work, that is—a month walking past the door.

Arithmetic, not a forecast: calls × missed % × close % × job value × 4.33 weeks. It assumes every missed call is answerable, which is the point of an AI receptionist and is still an assumption. Change the numbers until it looks like your business.

End-to-end automation

How the complete system works

Five stages between a first massage and a course of six on standing order. This is the machine everything in the manifest runs on in a spa.

  1. Somebody gets in touch

A spa loses money with the room heated, the therapist paid and nobody on the table. Capture is built to fill the room and to sell the course rather than the single treatment.

The call while a treatment is running

    • Answered quietly, without a phone ringing through a treatment room
    • Asks which treatment and how long they want on the table
    • Books therapist and room together, because both have to be free
    • Mentions the patch test where a facial or a peel needs one
    • Handled in Spanish where the client list needs it

Room and therapistTreatment lengthPatch test where needed

The message about a gift voucher

    • Answered on SMS, email, Facebook and Instagram without a phone ringing
    • Site chat that asks whether this is for them or a gift
    • Collects pregnancy and contraindication notes before booking
    • Passes anything medical to a therapist rather than answering it
    • Opens the course-of-treatments sequence from the first message

    Gift or selfContraindicationsCourse offer

    The treatment booking form

    • Every enquiry starts the ten-day sequence toward a course
    • Followed up by email, by text and by a call from reception
    • Split to massage, facial, body or package by what they chose
    • Tagged by source so the voucher season can be measured
    • Reaches the diary with the consultation form already sent

    Massage, facial, packageConsultation sentVoucher tracking

  2. They are not ready yet

A spa client books when the week has been hard, which is rarely the week they enquired. Ten days of contact keeps you in mind until that week arrives.

Days one to three — the room, described

    • A welcome from the therapist who will be in the room
    • What arrival, changing and the treatment actually involve
    • How a course of six is priced against six single visits
    • One decision: book the treatment, or ask which one suits

Days four to seven — the text on a hard week

    • A quiet weekday afternoon offered, which is the room you need to fill
    • A client’s words about how they felt afterwards
    • One tap to take the table
    • Sent Thursday, when the week has done its damage

Days eight to ten — reception calls

    • A call to recommend a treatment rather than sell a slot
    • Ready for price, nerves about undressing, and time
    • Books the treatment, or a shorter taster instead
    • Leaves a voicemail that sounds like the room, not a call centre
  3. The appointment holds

A late cancellation in a spa costs the therapist’s hour, the room’s heat and the product already laid out. Nothing recovers that except attendance.

The room is booked and the client knows what to expect

    • A text with the treatment, the therapist and the arrival time
    • A calendar invite that allows for arriving twenty minutes early
    • The email version with the cancellation policy stated kindly
    • A consultation form sent ahead, so the table time is treatment time

Three reminders before the table is warmed

    • Two days out, in time to resell the room if plans change
    • The morning of, with what to bring and what not to eat
    • Fifteen minutes out, so the arrival ritual is not rushed
    • Rescheduling takes one tap and releases the room automatically

The heated room with nobody in it

    • Called inside the hour, while the therapist can still be redeployed
    • Finds out whether they are unwell or simply overwhelmed
    • Offers the hour to the standby list the same afternoon

    Standby list70% recovery target

  4. The good jobs get seen

The right moment is two hours after a massage, when the calm is still there — not the next morning when the inbox has taken it back.

Asked while the calm is still there

    • Fires two hours after the treatment ends, not the following week
    • A relaxed client gets the Google and Facebook link straight away
    • Discomfort about pressure or temperature reaches the manager first
    • Aimed at five to ten reviews a month across the treatment list

    And answered by the therapist

    • Every review answered by the person who did the treatment
    • The therapist named back, because clients ask for them by name
    • A complaint about noise or timing gets a change, not a paragraph
    • Anything about a skin reaction reaches you immediately

Put on the page that sells the course

    • Published against the treatment the reviewer had
    • Placed beside the course pricing, where the hesitation sits
    • Feeding local search for the treatments with the best margin
  5. They come back

A first massage is easy to sell and easy to forget. Everything worth having in a spa is in the second, sixth and twentieth visit.

The rhythm after the first visit

    • A rebooking prompt on the interval that treatment is designed for
    • A course of six offered after the second single visit, not the first
    • A seasonal note: hands in winter, feet before summer
    • A birthday treatment that is genuinely a gift, once a year

The questions that used to reach reception

    • Treatment lengths and prices answered at any hour
    • Rescheduling handled without disturbing a room
    • “Is my gift voucher still valid?”
    • Finding the aftercare notes a client has misplaced

    Bringing the one-visit clients back

    • A client who came once and never returned is called at three months
    • Six months quiet triggers a return offer from their therapist
    • A new treatment introduced as the reason to come in
    • A refer-a-friend prompt each month, which is how spas actually grow

Delivery and installation

You can install it yourself. Most people do.

Delivered within 24 business hours of purchase confirmation. Our counter is open 9am to 5pm Central, Monday to Friday, so a Friday evening order goes out on Monday rather than over the weekend. Two things arrive: the snapshot link and a PDF that walks the whole import. The PDF is the real route, not a courtesy attachment: screenshots, the import order, what to change first and what to leave alone. Most buyers never call us.

Support scope

What the price covers, and what gets its own quote

We would rather tell you where the line is now than discover it with you halfway through a build. Everything on the left is inside the price. Everything on the right is real work we are happy to do — it just gets priced on its own.

Inside the price

The snapshot link
The whole funnel as a GoHighLevel share link, yours to import into as many of your own sub-accounts as you like.
The installation PDF
Written for this funnel rather than for GoHighLevel in general: import order, what to rename, what to connect, what to leave alone.
Free updates for life
When the funnel is rebuilt or extended, the new link comes to you. There is no version fee and no upgrade tier.
A call before you buy
A walk-through of the funnel, or an honest answer about which one fits your offer. No charge and no pipeline chasing.

Installation is an optional $175 add-on — the PDF is a real route on its own.

Quoted separately, or run by a VA

Third-party integrations
Connecting the funnel to a CRM, an EHR, a job-management tool or an accounts package.
Third-party software
Anything that needs a licence, a seat or a subscription somewhere that is not GoHighLevel.
Custom software development
A portal, a calculator, a bespoke dashboard — software built for you rather than configured.

Ask and you get a fixed price and a date before anything starts. Where the work is repetitive rather than technical, we will say so and put a trained VA on it instead — it is cheaper and it is the honest answer.

The economics of an empty room

Treatment rooms have almost no variable cost and a very high fixed one. The therapist is rostered, the linen is laundered and the heating is on whether the table is occupied or not, which is why a quiet Tuesday hurts more than a busy Saturday helps.

That makes short-notice filling the single highest-value job in a spa, and it is the job nobody has time to do. Reception is checking clients in and out, and the person who could ring twenty voucher holders is the person on the desk.

What is in the snapshot

You import a complete sub-account: booking funnel, treatment calendars with per-treatment durations and buffers, reminder and recovery workflows, review requests, voucher follow-up and a reactivation campaign for dormant clients.

The website copy is written for a spa rather than adapted from something generic. Treatment descriptions, durations, contraindication notes and package structures are already in place; you replace the specifics with your own menu.

Delivered within 24 business hours with an installation PDF that names the spa-specific settings — patch-test windows, course lengths and which treatments need consent before booking. Installation by us is optional at $175.

Turning a first visit into a client

Most spas convert traffic to a first booking reasonably well and then lose the client silently. The nurture sequence is built around the treatment cycle, so a facial client hears from you when the skin cycle says the next one is due, not on a generic thirty-day timer.

Package and membership offers sit inside that sequence rather than being blasted to the whole list. It reads as a prompt from the spa the client already visited, which is why it tends to land better than a monthly newsletter.

Questions

About the Spa snapshot

More general questions — licensing, refunds, setup — are answered on the FAQ page.

Can it handle different treatment lengths and prep times?

Yes. Each treatment gets its own duration, buffer and preparation notes, so a 30-minute express facial and a 90-minute hot stone massage do not share the same slot logic. Room turnaround time is set as a buffer so the calendar never books back-to-back where you need ten minutes.

Will it chase gift vouchers we sold last Christmas?

That is what the reactivation campaign is for. You import the voucher holders as contacts, and the campaign gives them a reason and a slot rather than a reminder that they hold a voucher. Redeemed vouchers are also where a lot of package sales start.

How does it deal with clients who need a patch test?

The booking flow asks the qualifying questions before it holds the slot, and treatments that require a patch test route to a separate calendar with the correct lead time. The reminder sequence then references the test rather than leaving the client to remember.

We already have a spa booking system. Is this a replacement?

It can be, or it can sit in front of it as the enquiry and marketing layer. Plenty of spas keep their existing rota software and use the snapshot for capture, reminders, reviews and reactivation. Decide during installation support so it is wired one way rather than two.
